Effective Date: October 10, 2025
Scope: This Privacy Policy explains how Sunflower Garden Academy LLC (“we”, “us”, “our”) collects, uses, discloses, and protects personal information in connection with our AI voice concierge service for funeral homes (the “Service”). By using the Service, funeral home clients and their end users agree to the practices described below.
Data Collection
What we collect

. Device and usage data: device identifiers, IP addresses, browser or app type, log data, and diagnostic information.
.Optional information: preferences, notes, or other information funeral homes or their clients choose to provide to the Service.
How we collect it
.Directly from users: when funeral homes or their clients provide information during setup, configuration, or while interacting with the Service.
.Automatically: through calls, SMS, system logs, and the Service’s operation.
.From third parties: when funeral homes integrate third‑party systems (e.g., scheduling platforms) and authorize data sharing.
.Directly from users: when funeral homes or their clients provide information during setup, configuration, or while interacting with the Service.
Purpose of collection
.To provide and improve the Service: process voice and text interactions, generate responses, route calls, and maintain system performance.
.Customer support and troubleshooting. Compliance and safety: to comply with legal obligations and protect rights.
.Analytics and service improvement: aggregated and de‑identified analytics to improve features.
Legal basis
We process personal data to perform the contract with our funeral home customers, to comply with legal obligations, and, where applicable, based on legitimate interests such as service operation and fraud prevention.
Retention
We retain personal data only as long as necessary to provide the Service, meet contractual obligations, comply with legal requirements, and for legitimate business purposes. Retention periods vary by data type and purpose; voice recordings and transcripts are retained according to the funeral home’s configuration and applicable law.
Third parties and processors
We may share data with service providers who perform functions on our behalf (cloud hosting, transcription, analytics, telephony providers). We require such providers to maintain appropriate safeguards.
SMS and Phone Usage
How we use SMS and phone data
.Service delivery: to receive and respond to voice calls and SMS messages, confirm appointments, provide information, and carry out concierge tasks requested by funeral homes.
.Notifications: appointment reminders, status updates, and other transactional messages related to the Service.
.Call recording and transcription: calls may be recorded and transcribed to enable the AI concierge to understand and respond accurately.
Consent and disclosures
Funeral homes are responsible for obtaining any required consents from their clients and contacts for call recording, SMS messaging, and data processing. We will honor any caller or message recipient preferences communicated to us or the funeral home
Message frequency and carrier charges
Message frequency depends on the funeral home’s use of the Service. Standard carrier rates may apply; users should consult their carrier for details.
Security of communications
We use industry standard technical and organizational measures to protect voice, SMS, and phone metadata in transit and at rest. However, no transmission is completely secure; funeral homes should avoid sharing highly sensitive personal data unless necessary and permitted.
Opt-Out Instructions
SMS opt-out
.To stop receiving non‑transactional SMS messages from the Service, reply STOP to any SMS message. After receiving STOP, we will send a confirmation and will not send further marketing SMS messages to that number unless the recipient later opts back in.
Phone call opt-out
.To opt out of automated or AI‑assisted calls, notify the funeral home directly or contact us (see Contact Information). We will process opt‑out requests promptly and update call preferences.
Email opt-out
.To stop marketing emails, click the “unsubscribe” link in the email or send an opt‑out request to [email protected] with the subject line Unsubscribe.
How we handle opt-outs
Opt‑out requests are applied as soon as practicable. Opting out of marketing communications does not prevent transactional messages necessary to provide the Service (e.g., appointment confirmations) unless otherwise requested and permitted by law.
No Data Selling
We do not sell personal data
Sunflower Garden Academy LLC does not sell personal information to third parties. We do not exchange personal data for monetary consideration or other valuable consideration that would constitute a sale under applicable privacy laws.
Limited sharing for service delivery
We may share data with third‑party processors solely to provide the Service (telephony carriers, cloud providers, transcription services). Such sharing is governed by contracts that require processors to use data only for permitted purposes and to maintain confidentiality and security.
Aggregated and de‑identified data
We may use or disclose aggregated or de‑identified information that cannot reasonably be used to identify an individual for analytics and product improvement. Such data is not considered personal data.
